A fee statement is a formal request for payment. The person who provides a service or delivers a piece of work sends it to the client to put in writing what was done, how much is being charged and how they would like to be paid. It is common in Colombia and other Latin American countries among designers, developers, writers, private tutors, technicians, contractors and other independent workers.
It does not replace an invoice. If your activity or income requires you to issue invoices, you must issue the invoice your country's tax authority requires; fee statements are usually used by people who are not required to invoice. The rules vary by country and by your situation, so if in doubt, ask an accountant.
Details a fee statement must include
- Who is charging: full name and ID number (national ID or tax ID), plus a phone number or email so the client can reach you.
- Who is paying: the person's name or the company's legal name, with their ID or tax ID number.
- Date and sequential number: it helps you keep track and prevents two charges from having the same number.
- Description of the service: a clear description of the work provided, including the period or delivery it refers to.
- Total amount: in figures and in words, and the currency if it is not the local one.
- Payment method: bank, account type and account number, or whichever method you prefer (bank transfer, digital wallet, payment link).
- Signature: optional but recommended; it makes the document look more formal.

Common mistakes that delay payment
- Charging without describing the service or the period, which forces the client to ask you for clarification.
- Writing the amount in figures and in words that do not match.
- Leaving out the payment details, or leaving them incomplete.
- Repeating the sequential number, or not using one at all.
- Misspelling the client's name or ID number, which can stop their accounting team from registering the payment.
- Sending it without a date, or without agreeing on a payment deadline first.
Fee statement, invoice and receipt: what is the difference?
- Fee statement: it asks for payment. It is sent before the money arrives.
- Invoice: a tax document with rules specific to each country. If you are required to invoice, a fee statement does not replace it.
- Receipt or proof of payment: it confirms that payment has already been received. It is issued afterwards and serves as a record for both parties.
