Free sales receipt as a PDF with logo, tax and QR code
A sales receipt is the proof you give your customer when they buy a product or service from you. It details what they bought, how much they paid and who sold it to them, and it gives your business a more professional image.
In this guide you will see what it should include, how the discount and taxes are calculated, an example with fictional data and how to personalize it with your logo and a QR code.

It is the proof you hand to a customer when you sell a product or service. For them it shows what they bought and how much they paid; for you it is a record of your sales and a safeguard against returns, warranties or claims. It is widely used by small shops, entrepreneurs, social media sellers and home-based businesses.
It is a simple proof of sale. It is not an electronic invoice and does not replace one: if your business is required to invoice, you must issue the invoice through your country's official system. If in doubt, consult an accountant.
What a sales receipt should include
- Your business: name, contact details and address, with your logo.
- The customer: name and, if needed, ID number or contact details.
- Date and receipt number: with sequential numbering.
- Sale details: a list of products or services with quantity and unit price.
- Subtotal, discount and taxes: only if they apply.
- Total due: clear and visible.
- QR code: linking to your Instagram, WhatsApp or payment link, so customers can find you again.
How the total is calculated: discount and tax
The usual order is: add up each item (quantity × unit price) to get the subtotal; if you give a discount, it is subtracted from the subtotal; tax, if it applies, is calculated on the discounted amount; and the result is the total due. The generator does this math for you. An example:
- Subtotal: $200,000
- 10% discount: −$20,000
- Taxable base: $180,000
- 19% tax: $34,200
- Total due: $214,200
The tax rate depends on your country and on what you sell; 19% is only an example.
